The Events Assistant contributes to the Marketing teams objectives to reach and engage key audiences, and to generate qualified leads to support revenue targets. Your core responsibilities are to assist the team with the smooth running of all events and conferences and be proactive to ensure all event elements are carried out professionally and within schedule. You will be a great networker, confident in using social media channels and online event platforms, creative and eager to contribute to new ideas across the team. You will also have excellent organisational skills.
Responsibilities- Conferences and events administration
- Update the event schedule throughout the year
- Attend event planning meetings
- Keep the conferences and events process updated
- Manage internal communications on the conferences and events team’s channel
- Assist the content marketing team in promoting events on the company website and social media
- Ensure all event leads are captured and shared with our marketing executive to upload to the CRM
- Support the event planning team with logistics, liaising with organisers and company representatives
- Arrange the effective distribution of marketing materials to event venues, ensuring all branded items for events arrive on time
- Provide guidelines to Research representatives to set up booths
- Provide information for company profile at external events and upload relevant branded materials to virtual booths
- Liaise with the rest of the marketing team on the production of content or materials for conferences and events
- Assist the content marketing team with event agenda creation
- Assist in finding venues and liaising with external parties for in-person events
- Carry out ad-hoc duties at in-person events including, but not limited to, setting up and dismantling pull up banners and stands, guest list management, welcoming and guiding guests
- Support the organisation of webinars and virtual events, managing all steps of the process including registration, rehearsals, live event management and recording
- Support the organisation of the annual International School Awards by updating the online application platform and the event hosting platform.
- Contribute to new ideas and workshops for multi-channel campaigns
- Liaise with relevant suppliers
- Work with the team to produce engaging content in line with our brand guidelines
- Support the team with administrative tasks such as organising gift vouchers to thank event panelists
- Educated to A-Level standard or equivalent. A degree in event management, marketing or communication is desirable, but not essential.
- Excellent organisational skills. Proven project management skills desirable.
- Strong communication and time management skills.
- Proficient in using Microsoft Office 365, particularly Word, Excel and PowerPoint
- Ability to learn new systems quickly (such as new social media features, event or community platforms)
- Personable and presentable: excellent networking skills
